Scheduling Zoom classes and meetings
How do people know where to go?
Regardless of the approach you choose, your students or meeting attendees need to know where to connect. You'll send them the Zoom URL for the meeting. It'll look something like https://highline.zoom.us/j/yourMeetingID Links to an external site.. You can post this as a link in your Canvas course, send it in an email, or include it in an Outlook calendar invite.
Scheduling with the Zoom Web Site or App
Use this approach for scheduling meetings that aren't class related, or if you don't want to use the Canvas integration. Office hours can also be scheduled this way.
We recommend the following settings when scheduling meetings:
- The times are guidelines. You can open a meeting before the time indicated, and end it anytime.
- Enable to waiting room and passcode.
- Select Video off for participants when they join.
- Disable "Join before host" for classes and office hours. No one will be able to start the meeting without you.
- Mute participants on entry for classes, but not for meetings.
- Do not select "Only authenticated users can join." This will require students to have to log in; our experience is that it's not worth the trouble students will have unless you've had disruptive behavior in the class.
Using the Canvas Integration
The Zoom page in Canvas allows you to set up meetings and have those links automatically show for students in their Zoom link and on the course calendar. Only use this for class meetings.
First time set up
Before you can use the Canvas integration for scheduling Zoom meetings, you need to add Zoom to the course left navigation.
- Add Zoom to your Course navigation Links to an external site.
- Click on the newly added link, and you'll be asked to authorize Zoom.
- Click Authorize.
- If you're asked to log in, do so with your usual MyHighline information.
Scheduling classes
To schedule classes in the Zoom page in Canvas:
- Click on Zoom in the course navigation
- Click on the Schedule a New Meeting button
- Fill out the meeting information (note the suggested options above)
